Town Hall Records Management Project

 

December 2016

The Town Clerk and DPW Director met with an Account Representative from King Information Systems, Inc.

March 2017

Analysis of the archival records was completed by King Information Systems and a detailed report was prepared and presented. The archival records at the town hall were spread out between at least twelve sepearte areas with no standards in terms of boxes or indexing. This analysis was used to obtain additional quotes.  The cost of this study was paid for by a Community Compact Grant-$3,179.87.

May 2017 Annual Town Meeting

ARTICLE 23:  A motion was made and seconded and VOTED IN THE AFFIRMATIVE BY THE MAJORITY to see if the Town will vote to raise and appropriate the sum of Forty Thousand Dollars ($40,000) to projects related to records managment.

September 21, 2017

The Board of Selectmen approved the work to be done by King Information Systems at a cost of $19,621.

December 2017

The DPW assists in preparing the storge room for King Information Systems.  They emptied and gave the room a fresh coat of paint.

February 13, 2018

King Information Systems began their work on Tuesday, February 13th and will go through all the archival records and index those that are permanent records (in a database) store in new boxes on new shelving.  Other records will be destroyed with approval of the Secretary of the Commonwealth's Records Management Unit and the States Retention Schedule.
